Rename or delete a version
Labels you can fix any time, deletions that free real storage, and two guardrails that make sure you cannot pull the file out from under a live link.
Versions are labelled by filename, and mostly that is the end of it. Two pieces of housekeeping exist for the exceptions: a label worth fixing, and a version worth removing.
Rename a label
Open Version History, click the label, and type the new one. The change applies everywhere the label appears: the history itself, the reviewer-facing version rail, the badges on comments, and the compare view. The file underneath never changes, and there is no renumbering, because there are no numbers.
Rename when the export name would confuse a client (BreweryFilm_FINAL_v3_ACTUALFINAL.mp4 has earned a cleanup) or when two exports landed with the same name and you want them tellable apart.
Delete a version
Open Version History, find the version, and choose delete. The file is removed, it stops counting toward your storage, and any comments pinned to it go with it, so export feedback you want to keep first.
The two guardrails
- The active version cannot be deleted. It is what every shared link is playing. Make another version active first, then delete.
- The only remaining version cannot be deleted. An asset with zero versions would be a tile with nothing behind it. If you mean to remove the whole asset, delete the asset itself.
Both rules exist for the same reason the quiet fix works: a link you sent last month is a promise, and nothing in version housekeeping is allowed to break it by accident.
Questions
Why can I not delete a version?
Two cases: it is the active version (it is what every shared link is playing; make another version active first) or it is the only version left (deleting it would leave the asset with no file; delete the whole asset instead if that is what you mean).
Does renaming a version change what my client sees?
Yes, everywhere the label appears: the version rail, comment badges, and compare view all show the new name. Renaming changes the label only, never the file.
Does deleting a version free storage?
Yes. The version’s file is removed and stops counting toward your storage. Comments that were pinned to it are removed with it, so export anything you need first.
