Notification emails aren't arriving

Spam folder, suppression list, SMTP config: the three causes checked in the order they actually occur.

What you're seeing

An invite, a comment notification, or a send never lands. No bounce, no error on your side, no email on theirs.

Why it happens

Three causes, in order of how often they turn out to be it:

  1. The spam folder. Especially for a workspace still sending through the platform default rather than your own domain.
  2. The recipient is suppressed. Anyone who unsubscribed, or whose address hard-bounced twice, is automatically held out of future sends. Suppressed contacts show a warning when you add them as recipients; it is honest, not broken.
  3. A workspace SMTP misconfiguration. If you recently configured your own sending domain and the credentials or port are wrong, sends fail quietly at your provider.

Fix it

  • Ask the recipient to check spam and mark the message "not spam"; that trains their filter for everything after.
  • Check the contact in the send modal: a suppression warning next to their name is your answer. For accidental unsubscribes, see the FAQ below.
  • If you use your own SMTP, send yourself a test email from the SMTP section in Settings. A test that fails means wrong credentials, wrong port, or a provider requiring an app-specific password; the setup page covers each.
  • If nothing sends at all and you have no custom SMTP, contact support; platform-level sending being down is ours to fix, fast.

Still stuck

Contact support with the recipient address and the approximate send time. Send logs on our side say exactly what happened to a specific message.

Questions

A contact unsubscribed by accident. Can they get emails again?

Unsubscribes are always honored automatically, so the recipient needs to opt back in rather than you overriding it. Contact support with the address and we will walk through the recovery with their confirmation.
